Dear AccountMate Clients,
It's been a busy summer around here with AccountMate running a
special promotion for clients of very old versions; and I've
been in contact with some of you that I don't regularly
correspond with - since a good accounting application is one
that you don't have to contact your Business Partner about all
the time, right? <grin>
My challenges have been threefold: determining who to contact,
keeping track of the prior correspondence, and knowing when next
to contact them - the classic sales challenges. That's not
too tough for a handful of contacts; but since I've been
following up with about 30 clients, that's more than a "little
yellow sticky" system can easily handle.
We've been big fans of INFOtrac for AccountMate for
years (for more info:
http://www.accountmate.com/am7/CRM_Module.asp) as it's a
great repository of client-specific information, but it's when
juggling dozens of concurrent sales lead that it really shines.
I was able to pull out a list of our AccountMate clients sorted
by version in about 30 seconds, and then the only work was in
making the contacts themselves - recording the contact itself is
a piece of cake. Then I joke around the office that, "My
INFOtrac won't let me
sleep!" because every morning I know exactly who to
follow-up with, based on their feedback, and all of the
correspondence to date.
Thus, I've been able to keep up with all of these efforts and
the net result is more software sales while clients, some from
as far back as MS-DOS versions, benefit from AccountMate's
Summer 2008 Promotion.
Having a CRM (Customer Relationship Management) solution that
"won't let you sleep" is an incredible asset for any
organization - especially one involved in sales, which is the
majority of organizations. Having it integrated real-time
to your AccountMate financial management system is just
over the top in functionality that can be pulled
together.
So... How do you follow up?!
Contact me if you don't have a good method, or it's not
integrated to your accounting data, such as what customers have
purchased previously and if their accounts are in good standing.
You'll be amazed at how easy it is!
On the running front, I'm practically on vacation. Instead
of 70 miles per week, across 6 days out of 7; I'm relaxing with
only 25 miles in 3 days per week. Recharging my batteries
before the fall racing season, and currently trying to figure
out which 100 mile races look like the most fun. Stay

Info-Alert for AccountMate
Info-Alert for
AccountMate is a solution that can help everyone run their
business more effectively. It's impossible to stay focused
on all the important factors of your business all the time, so
Info-Alert monitors conditions you've defined (such as inventory
item levels, customers over credit limit or pay terms, etc.) and
then "alerts" the responsible person. Thus you can
manage by exception
for many of the mundane matters of the business!

Executive Summary
New in
AccountMate/SQL 7.4 is the Executive Summary report on the Power
Toolbar. The screen provides a snapshot of the company's
current financial condition that can help managers quickly
identify areas of concern. The following information is
available for users to view on the screen or to print:
1) Open sales orders, and period-to-date sales orders and
shipments
2)
Backordered PO, and period-to-date purchase orders and receipts
3)
Receivable balance, un-invoiced shipments, and period-to-date
invoices, receipts and adjustments
4)
Payable balance, accrued receipts, and period-to-date invoices,
payments and adjustments
5)
Receivable and payable aging

Total inventory value
7) Total
bank balance

Note: Transactions
that Affect AR Multi-Currency Revaluation
Companies that carry large amounts of foreign currency
receivables may need to restate their receivable balances when
they prepare their financial statements to reflect the latest
currency exchange rates. Under the current economic conditions,
revaluation of receivables may have an even bigger impact on the
company’s financial statements and must therefore be performed
with great care. This week’s TechNote explains how different

I run a US-based company; however, I do business with vendors
from Canada so I maintain an account with a Canadian Bank. How
do I set up this bank account in AccountMate so that the checks
I print comply with the Canadian check requirements?
A:
In AccountMate 7.4 for SQL/Express you can define the check
format for each bank account maintained in the system. To do
this, access the Bank Account Maintenance function. In the Check
Format field, select from the list box Canadian for the
Canadian check format or Standard for the standard check
requirements for US-based banks.

Q:
Some of my customers do not want the credit card information
we use in sales orders or invoice transactions to be saved in
our customer records. How do you this in AccountMate?
A:
AccountMate 7.4 for SQL/Express can be configured not to save
the credit card information used in transactions into the
customer records. To do this, access the customer’s record in
Customer Maintenance. In the Settings tab, be sure that the Save
Credit Card Information checkbox beneath the Credit Card
Information grid is unmarked; then, click the Update button.
